POSITION OVERVIEW
We are seeking a detail-oriented and highly organized Event Marketing Specialist who is a proven leader in experiential marketing to join our expanding Marketing department. We are looking for someone passionate about promoting our high-value B2B educational solutions for engineering education and research, focusing on universities worldwide. The successful candidate will combine expertise in event management to design and execute memorable, immersive experiences that resonate with our audience and align with our customer journey.

The ideal candidate must possess exceptional communication skills to effectively engage with internal teams and external vendors and partners. This candidate will be a key driver in delivering successful events and creating impactful experiences that align with Quanser’s mission, brand and business objectives. The Event Marketing Specialist will report directly to the Director of Marketing and will work collaboratively as part of the marketing team to ensure event strategies align with overall marketing objectives and will have a direct impact on shaping our brand’s experiential presence at key industry and academic events.

Quanser participates in 15 to 20 industry and academic tradeshows and conferences globally each year, in addition to hosting on-campus workshops and events. As part of this role, the successful candidate will take a leadership position in managing these events, sometimes in parallel, to ensure that everything runs smoothly and effectively. Ultimately this role will craft experiences that represent Quanser’s brand and expertise while engaging and inspiring our target audience through memorable, hands-on experiences.

RESPONSIBILITIES
Responsibilities for this role include, but are not limited to:
 
Tradeshow and Conference Management:
·        Manage the execution of 15 - 20 global tradeshows, conferences, workshops and academic outreach events each year.
·        Own the management of the marketing events calendar and budget, making recommendations to optimize both event experiences and budget allocation, while ensuring alignment with strategic marketing goals and organizational priorities.
·        Ensure that the appropriate technical demos are identified, thoroughly tested, packed, and shipped to events on time, maintaining the highest quality standards to support the success of each event.
·        Own the internal marketing demo area, which is used for training, customer visits etc. ensuring that equipment is always consistently up and running and ready for guests.
·        Ensure all logistical elements, booth setup, promotional materials, staff registration, catering, transportation, and technology requirements are arranged in a timely manner.
·        Lead a pre-conference meeting for each event to review all necessary event related details with team members attending and key stakeholders.
Logistics and Shipment Coordination:
·        Work closely with the logistics team to proactively organize and manage event-related shipments.
·        Ensure all documentation is completed accurately and shipments are packed and delivered on time.
·        Troubleshoot any logistical issues that arise before, during, or after the event.
Marketing and Demand Generation:
·        Serve as the demand generation marketing lead for tradeshows and conferences.
·        Develop and execute strategies to increase lead generation and improve the lead capture process.
·        Track and analyze event performance and calculate the ROI to measure success and identify areas for improvement.
Post-Event Evaluation:
·        Lead post-conference meeting for each event to collect insights and recommendations for improving future events.
·        Analyze feedback from attendees and stakeholders and implement process improvements as required. 
Additional duties as required including but not limited to:
·        General marketing support
·        Internal corporate events support
·        Corporate Social Committee member
 

 
QUALIFICATIONS
Education & Experience
·        A post-secondary education from a recognized institution in Marketing, Communications, Business, Hospitality Management, Event Management, or a related field.
·        Additional certifications in project management, experiential marketing, or event planning would be a plus (e.g., CMP (Certified Meeting Professional), CMM (Certified Meeting Manager), or similar credentials).
·        5+ years of experience in global event planning, coordination, and management, preferably within a B2B, technical or educational sector.

Competencies & Attributes 
·        Proven track record in managing multiple events simultaneously, from planning through execution.
·        Detail-oriented with excellent organizational skills, strong project management skills, with the ability to handle tight deadlines and high-pressure situations.
·        Strong understanding of experiential marketing and its integration into event strategies.
·        Excellent communication skills and strong command of the English language written and verbal for liaising with internal teams, external partners, and vendors.
·        Knowledge or experience in technical or engineering fields would be considered beneficial, especially if the role involves managing complex product demonstrations or events for technical audiences.
·        Solid experience in budget management and cost optimization.
·        Experience with event technology, registration systems, and virtual/hybrid event platforms.
·        Ability to identify, test, pack, and ship technical demos for events, ensuring they meet quality standards.
·        Works well collaboratively, and has the ability to cooperate with team members and other departments in order to complete tasks (i.e. Sales, Logistics, Engineering, Accounting, etc.) 
·        Proactive approach to problem-solving, adaptability and ability to thrive in a fast-paced environment.
·        Strong Microsoft Office Suite skills (Microsoft Word, Excel, PowerPoint, Outlook etc.) 
·        Strong presentation skills (online and in-person).
·        Possess a valid Canadian passport with the ability to travel approximately 10% of the time internationally to oversee event execution, support on-site activities, and engage with stakeholders at industry and academic events.
·        Possess a valid Ontario Driver's License with access to a vehicle would be considered an asset.
