POSITION OVERVIEW
There is an immediate need for an Office Concierge to join our Administration Department.
Based at our Markham headquarters, this role is central to maintaining a professional, welcoming, and efficient office environment. The successful candidate will work on-site, Monday to Friday, and will offer stellar front-line service-oriented support to all employees, customers and guests.
As the first point of contact for guests and a key support for internal operations, the Office Concierge plays a critical role in shaping both employee and visitor experience. This position requires a proactive, service-minded individual who thrives in a fast-paced, dynamic environment. The ideal candidate is detail-oriented, self-motivated, and possesses a natural ability to prioritize and problem-solve with minimal supervision. RESPONSIBILITIES
The responsibilities for this role include, but are not limited to:
Front Desk & Guest Services:
· Welcome and sign in visitors in a professional, courteous manner; offer beverages and notify host of guest arrival.
· Maintain a clean and inviting reception area, including restocking beverages and snacks, and managing overall tidiness.
· Answer and direct incoming phone calls following established protocol; screen and route calls or take messages as needed.
· Manage general inbox and voicemail messages, ensuring prompt and appropriate follow-up.
Office Operations & Administrative Support:
· Perform daily administrative tasks including mail and courier management, incoming document distribution, and scheduling.
· Provide administrative support to staff across departments, including booking meetings, handling errands, ordering supplies, and maintaining organized communal spaces.
· Support boardroom readiness for meetings: prepare refreshments, tidy rooms, and resolve scheduling conflicts.
· Manage inventory and order office, kitchen, and cleaning supplies as needed.
· Serve on internal committees such as the Social Committee and Joint Health & Safety Committee.
Facilities & Hospitality Coordination:
· Monitor and maintain kitchen and meeting spaces including emptying dishwashers, replenishing coffee stations, and stocking fridges.
· Coordinate facility maintenance and vendor appointments (HVAC, landscaping, cleaners, etc.).
· Schedule regular cleanings of shared areas (e.g., refrigerators), notify cleaners, and communicate with staff.
· Ensure that the office, and general property, is clean, organized and inviting.
Event & Travel Support:
· Assist with planning and execution of logistics for corporate and social events; i.e. BBQs, corporate kick-off, monthly birthday celebrations, wellness initiatives etc.
· Coordinate business travel and accommodations for staff and visiting guests. This may include:
· Booking flights, hotels and car rentals;
· Arranging airport pick-ups/drop-offs;
· Managing process for obtaining Travel VISAs; and
· Providing detailed travel itineraries for staff and guests.
· Book off-site venues and catering for meetings or team events as required.
Essential Qualifications
The Ideal Candidate
· Has at least 1 year of experience in a related position i.e. office administration, concierge, receptionist, customer service, front desk, etc.
· Possesses the ability to communicate effectively, both in written and verbal communication.
· Exercises initiative, sound judgment, and excellent problem-solving ability.
· Consistently performs above and beyond expectations.
· Takes pride and ownership of role and responsibilities and has an ‘all hands on deck’ mentality.
· Is well-organized and can balance many competing priorities, and has the ability to pivot when needed.
Technical Skills:
· Proficient with MS Office Suite (Word, PowerPoint, Excel, Publisher, PowerPoint and Outlook)
· Ability to operate standard office equipment (phone, printer, postage machine, photocopier, etc.)
· Must have a valid Ontario G-class Ontario Driver's License, and daily access to a personal vehicle (for errands and supply runs).
· Must be able to lift 10lbs comfortably
